Accounting Assistant

Maine Wood Concepts, an industry leader in the manufacturing of custom wood turning and moulding components, has an immediate opening for a high level experienced Accounting Assistant. This position will be responsible for all aspects of bookkeeping and assorted accounting functions, including accounts payable, accounts receivable, bank reconciliations, and general ledgers. The successful candidate will have to be detail oriented, highly organized, able to meet deadlines, and confident and professional in their approach with company contacts. The ability and willingness to undertake a variety of accounting tasks is essential as is the ability to be a good team player when called upon to do so or work autonomously as the job demands.

Working under the supervision of the Director of Finance, the Accounting Assistant is responsible for the day-to-day operation, maintenance, and integrity of the company’s financial records.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following:

  • Oversees all duties associated with accounts payable/receivable including: interacting with customers and vendors; processing invoices; expense and other general ledger coding; data entry; performing bank deposits; and tracking and following up on receiving/Accounts Payable questions and all accounts receivables as needed; processing monthly accounts receivable statements and interacting with, mentoring & training support staff as needed.
  • Processes cash disbursements and assists with cash management.
  • Initiates and processes wire transfers
  • Oversees 1099 and other annual preparation and mailings.
  • Assists with preparing annual audit schedules, as well as government audits.
  • Gathers all necessary financial reporting to federal, city and state agencies, including sales/use tax filings as needed.
  • Assists with budget preparation and maintaining budget controls
  • Balances ledgers, reconciles accounts and prepares accounts payable and receivable reports.
  • Prepares monthly financials for the senior management team

DESIRED QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • The Accounting Assistant candidate should have an Associate's degree in accounting or equivalent business experience with a thorough knowledge of bookkeeping and generally accepted accounting principles. Preference will be given to candidates with a working knowledge of manufacturing based accounting and cost accounting. Five years of accounting experience is desired. Experience in a manufacturing environment is strongly preferred.
  • The ability to analyze financial records and transfer information is essential.
  • Expert level QuickBooks user with strong computer skills including MS Office applications.
  • Ability to maintain high level of confidentiality; meet deadlines and disseminate information effectively and efficiently.
